Summary:
In this role, you will manage production workflows, coordinate the licensing and distribution of Matador’s video content across a variety of partners and platforms, and oversee legal documentation and rights tracking. A key part of this role involves building and maintaining systems—such as Airtable or similar tools—for organizing media assets and ensuring cross-team visibility. This role includes direct support for the Associate Director of Production, assisting with content-related initiatives, tracking priorities, and helping ensure execution across departments. While the primary focus is on content operations and distribution, the role also includes light support for Matador Original productions.
Key Responsibilities:
Production & Workflow Coordination
- Oversee the organization and maintenance of a master database of 500+ original videos, including asset tracking, metadata, and usage history
- Build and manage systems to organize media assets across multiple formats and versions
- Coordinate timelines, deliverables, and assignments for editors and copywriters across multiple projects
- Support the release and archiving of Matador Original documentaries and branded content
- Manage internal processes and ensure documentation and best practices are followed across teams
- Collaborate with leadership to implement and champion company and departmental initiatives
Content Licensing & Curation
- Manage content licensing projects for clients and partners, identifying content that fits their platform needs
- Curate customized video playlists for partner distribution channels including airlines and OTT platforms
- Collaborate with editors to repackage and repurpose content with updated creative direction
- Maintain familiarity with Matador’s branded and original content, including multiple versions of each asset
Creative Support & Quality Control
- Provide thoughtful, clear feedback on video edits with a focus on quality, storytelling, and polish
- Ensure all final deliverables meet brand standards, are error-free, and approved for delivery
- Coordinate with copywriters to ensure titles, descriptions, and metadata are compelling and accurate
- Manage content review and approval cycles to ensure timely feedback and alignment across stakeholders
AI & Workflow Innovation
- Leverage AI tools such as ChatGPT-4, Perplexity Pro, and Claude to support editorial, documentation, and reporting tasks
- Identify opportunities to streamline workflows through AI and automation tools
- Share AI-enhanced workflow improvements with team members and help support adoption
- Contribute new ideas and industry best practices for operational improvement and efficiency
Legal & Rights Management
- Track usage rights, contracts, and clearances for video assets including music, footage, and talent
- Coordinate with the legal team to ensure all content is cleared for reuse and distribution
- Build systems to monitor licensing expiration dates and client-specific usage restrictions
Reporting, Resource Support & Issue Management
- Compile and analyze performance and revenue reports from distribution platforms
- Assist in onboarding and coordinating freelance editors and copywriters
- Process freelancer invoices and track project resourcing needs
- Proactively identify and escalate blockers or issues that may affect project timelines
- Support the Associate Director of Production with sublicensing workflows and documentation
Required Skills:
- Demonstrated ability to manage multiple projects and cross-functional team workflows
- Strong attention to detail and quality control in a creative production environment
- Proficiency in Google Workspace, Asana, Slack, Frame.io, and Adobe Acrobat; experience with Airtable or similar database and content management tools is a plus
- Self-starter with excellent organizational and time management abilities
- Interest in AI tools and their application in creative operations
Qualifications/Experience/Education:
- 2–4 years of experience in production coordination, project management, or media operations
- Experience building and managing databases of media content and associated metadata
- Familiarity with licensing, content rights, and asset tracking systems
- Client-facing experience and strong interpersonal communication skills
Nuts and Bolts:
- Full-time independent contractor position with monthly compensation
- Remote position (i.e., working from your home office when not traveling for work)
- Based in a North American time zone (working hours: approximately 8 AM – 5 PM PST)
- Must be willing to travel an average of once per month to shoot on location

Summary:
We are seeking an energetic and organized Freelance Customer Success Manager for the B2B side of GuideGeek, to work with our clients every step of the way – from sales to onboarding, to testing their AI, to implementation and promotion.
Key Responsibilities:
- Be the primary point of contact for all of our AI clients across DMOs, airline, global hospitality, and consumer brands
- Support in the sales and Q&A process alongside our sales team, as we educate new AI clients about the power of this new service
- Assist our tech team with connecting GuideGeek’s AI platform to the client’s digital platform (no technical experience is required)
- Track and project manage AI implementation, testing phase, and public launch for all clients
- Build out detailed timelines to ensure we are helping our clients launch their AIs on time
- Become the connective tissue between our clients, our engineering team, and our social/performance marketing teams
Required Skills:
- Outstanding written communication skills in emails, direct and succinct in your communications
- Native English speaker with flawless grammar
- Highly self-motivated and ambitious, you like taking on big challenges and setting the bar high
- Diligent and able to thrive in both solo and team settings
- Outstanding presentation skills via Zoom and Teams
- Organized, detail-oriented, adept at multitasking, and able to stay organized across hundreds of client contacts
Qualifications/Experience/Education:
- Bachelor’s Degree or equivalent professional experience
- Top notch written communication skills with a proven track record in successful sales and/or account management
- Extensive experience in project management with dozens of simultaneous clients

- 100% remote – work from anywhere in the world (candidates must be based in a North American time zone)
- Competitive base salary paid monthly. Compensation is a set hourly rate and is based on experience

Summary:
The Production Coordinator is driven and resourceful with the ability support our content teams in bringing compelling, story-driven campaigns to life. This is a hands-on role perfect for an aspiring producer looking to grow their skills in a fast-paced, creative environment. You’ll play a key role in planning and executing shoots from pre-production to wrap—on the ground and behind the scenes. The Production Coordinator will thrive under pressure, think two steps ahead, and is excited to grow with a company built on curiosity, creativity, and a love of adventure.
Key Responsibilities:
- Traveling for shoots regularly—frequency varies month to month—and supporting on-the-ground production
- Collaborating with Producers to build campaign timelines, shoot itineraries, and daily call sheets
- Managing logistics including travel for talent and crew, accommodations, and gear transportation—sometimes in collaboration with a travel agent
- Overseeing budgets, tracking expenses, and processing crew invoices according to Matador’s SOPs
- Researching shoot locations, permits, travel rules, regulations, and other key production requirements
- Securing paperwork: location agreements, appearance releases, and other essential documents
- Interfacing with clients, talent, and location contacts professionally and confidently
- Tracking gear and ensuring safe transit and accountability across multiple shoots
- Creating wrap books and auditing production records to ensure all assets and documents are accounted for
- Building organized, user-friendly Google Sheets to track projects, timelines, and essential details—turning complex info into clear, digestible formats
- Problem solving on the fly and staying cool under pressure
- Taking initiative to identify and avoid potential roadblocks before they arise
- Supporting multiple producers and projects at once with agility and focus
- Staying extremely organized and detail-oriented in a fast-paced, ever-changing environment
- Balancing leadership and support in the field—knowing when to step up, when to listen, when to ask questions, and when to take initiative
Required Skills:
- Experience planning ahead and identifying potential challenges before they happen
- Ability to communicate clearly and confidently—whether with clients, crew, or local contacts
- Ability to create clear itineraries that account for travel, shoot logistics, and team needs
- Multitasking and managing time across fast-moving, overlapping projects
- Ability to design effective Google Sheets and trackers to stay on top of every moving parts
- Adapting to structure—or lack thereof. You know when to follow a process and when to create one
- Ability to think creatively under pressure, pivoting when needed, and bringing calm energy to the chaos
Qualifications/Experience/Education:
- 2+ years of experience as a Production Coordinator or Production Manager (film, commercial, or branded content)
- Strong familiarity with domestic and international travel logistics
- Comfort working independently or in small teams, often in new or dynamic environments
- An outgoing, solutions-oriented personality—you’re not afraid to cold call a location or chase down a release
- Proficiency with tools like Google Suite, Asana, Adobe Acrobat, and Slack
- An interest in AI tools and emerging workflows that support production efficiency
- A strong sense of organization, follow-through, and detail management
- A natural alignment with Matador’s voice, brand, and love for adventure
- A valid driver’s license and passport
- A willingness and eagerness to travel regularly, sometimes more than once per month
- A passion for travel, people, and storytelling
